Appointment utilisation calculator

Express booked clinical slots as a percentage of available appointment slots for a practitioner or room.

Introduction

Utilisation compares how many slots you could have sold with how many were actually booked. It is a core metric for capacity planning in multi-room clinics.

Define “available slots” consistently—exclude holidays, training, or blocked admin time if those minutes were never meant to be sold.

Context and how to use this

Utilisation compares booked slots to slots you could have sold. It is sensitive to how you define “available”—exclude training blocks if they were never meant to be commercial.

Per-practitioner utilisation differs from whole-clinic occupancy when rooms outnumber clinicians.

Common questions

Do cancellations count as booked?
Use the definition you already track. Some clinics measure utilisation on the morning of; others on end-of-day actuals.
Can utilisation exceed 100%?
Not with consistent definitions. If it does, your “available” count is probably too low or double-booking is miscounted.
